Internal Cost Allocation and Chargeback System

Track, Allocate, and Recover Costs

The Challenge
Today's organizations implement cost allocation and chargeback systems to gain insight into an offering's profitability, to control costs, and to enable the responsible management of resources. A chargeback system can be used to hold delivery organizations accountable for providing cost-effective services as well as to empower internal clients to make informed decisions about the services they request. However, effective cost allocation requires more than merely reorganizing existing financial and asset data, applying a layer of analytics, and in turn, assigning costs. Such a simplistic approach fosters an environment where data inaccuracies result in uneducated business decisions. An effective cost allocation system must be able to collect and compute good data, allow data to be organized at any level of granularity, align to the organizational structure of your company, and allow data to be readily available for ongoing analyses.

The challenge in implementing a cost allocation and chargeback framework is threefold and centers on data collection, organization, and accuracy. While companies have no shortage of raw data, being able to easily collect relevant information regarding every product and service, delivery location, and internal client is a daunting challenge. Needed information may reside across various existing databases, requiring aggregation into a single repository. Other key data points may not exist at all, requiring them to be computed or estimated for use. The second part of the challenge is to organize the data, aligning it to the company's structure. At this stage, data may also be tagged (e.g., standard, non-standard) in order to assess new or changing product and service lines. Well-organized data injects efficiency into cost allocation transactions and supports transparency initiatives. It also results in a database always primed for additional analyses. Last, integrating a process to address and maintain data accuracy increases confidence and allows for more educated business decisions to be made. An optimal chargeback system will address these challenges by employing an iterative process of data collection, organization, and accuracy measures. With such a system in place, a company can evolve from merely managing data to optimizing business intelligence.

Our application is set up to align to your internal product and service offerings as well as to mirror the organizational structure of your delivery and client locations. Allocations can be set up as one-time, monthly recurring (ongoing), or fixed period (with defined start and end dates). Cost Allocation System for External Billing

>> Cost Allocation Software Features

Allocate, Understand, and Collect Revenue

The Challenge
While traditional billing systems continue to meet the needs of most external clients, large corporations are confronted with a growing subset of clients who require complete transparency between the service provider and clients' internal departments consuming the offerings. In these instances, clients need to receive a summarized invoice for all services consumed as well as itemized invoices for each region, organization, and/or cost center. Furthermore, the itemized invoices might need to include other attribute data such as product descriptions, asset names, or other unique identifiers. The invoice may also need to include allocation assignments for items wholly consumed within a single organization versus fractional percentages for services that span multiple organizations and/or cost centers. All too frequently, corporations struggle to merge cost allocation functionality into their billing process. Efforts to fulfill contractual requirements and business agreements, dictating complicated rate structures as well as customized invoicing, results in a tedious and inefficient manual exercise.

An effective cost allocation system not only enables your company to know which services are being consumed at which price points; it improves data accuracy and, by providing greater insight into financial data, leads to better decision making. Actively managing and tracking all revenue sources results in fewer unbilled services, greater insight into how new offerings affect the company's bottom line, and a better understanding of how specific regions, locations, or organizations consume particular offerings over time. A well designed system can also drive customer loyalty and satisfaction by fostering open communication through the use of transparent data.
